Privacy Policy
Last updated October 23, 2026
Nexodus BPO Inc. (“Nexodus Clean,” “we,” “us”) built the Nexodus Clean platform as a marketplace that connects commercial janitorial providers to long-term service contracts. This Privacy Policy explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and how you can request its deletion.
1. Who we are
Nexodus Clean is operated by Nexodus BPO Inc., a United States company. We are registered for federal contracting (CAGE 10YR3, UEI S46UPQA3J833). If you have any question about this policy or your data, contact us at support@nexodusclean.com.
2. Information we collect
To set up your account, verify your identity, schedule your work, and pay you, we collect:
- Account and contact information: your name, email address, phone number, and mailing address.
- Identity and tax information: a completed IRS Form W-9, and a photograph of a government-issued ID used to verify you. We collect these to confirm you are who you say you are and to meet our tax-reporting obligations.
- Banking information: direct deposit details (account holder name, bank name, routing number, and account number) so we can pay you.
- Service and compliance records: when you perform a service we capture compliance photos. These photos are stamped at the moment they are taken with the date, time, time zone, and the site address and code. We also record your GPS location at clock-in and clock-out to confirm you were at the site during the scheduled window, and, while you are clocked in, the single moment you move away from the site, so a visit left open can be closed accurately. We do not keep a trail of where you go: your phone stops checking as soon as that one moment is recorded, and nothing is recorded once you have left.
- Profile and performance information: your headline, bio, skills, the states you service, training and certification records, ratings, and engagement and compliance scores.
- App activity and device information: the actions you take in the app, app version, and basic device information needed to keep the service running and secure.
3. How we use your information
- To create and manage your account and verify your identity.
- To match you with commercial contracts in your approved states and to schedule your services.
- To confirm services were completed to the site standard, using stamped photos and clock-in GPS.
- To pay you, including early-pay advances, and to issue invoices and tax documents.
- To communicate with you about your account, shifts, pay, and support tickets.
- To comply with legal, tax, and contractual obligations.
4. Who we share your information with
We share your information only as described below, and only the minimum necessary for each purpose:
- Clients you service. To verify completion of work we share service records and stamped compliance photos with the client that owns the site. This may include third-party work-order platforms such as ServiceChannel, or the client’s own system.
- Payroll and payments. We process provider payouts and payroll through Ramp. Your banking and tax information is shared with these services only as needed to pay you and meet reporting requirements.
- Photo routing and reporting. When a client requires it, compliance photos are delivered to that client or its platform (for example ServiceChannel or Upvoit) by API or by email with a PDF attachment, per the routing rules set for the site.
- Service providers we rely on. Hosting, authentication, email delivery, SMS, and analytics providers, each under contracts that limit how they use your data.
- Legal and safety. Where required by law, court order, or to protect the rights, property, or safety of Nexodus, our clients, providers, or the public.
We do not sell your personal information.
5. Data retention
We keep your information for as long as your account is active and for as long afterward as we need it to meet legal, tax, and contractual obligations. Tax records (including W-9 information) are retained as required by US tax law. Service records, compliance photos, and clock-in GPS are retained for the length of the site contract and for a reasonable audit window afterward. Banking information is kept until you update it or your account is deleted.
6. Your rights and deletion requests
Depending on where you live, you may have the right to access, correct, or delete the personal information we hold about you, and to opt out of certain uses. You can request deletion of your account and data at any time from Profile & Settings → Delete my account inside the app, or by emailing support@nexodusclean.com. When you submit a request we sign you out, an admin reviews it, and we then permanently delete your provider-owned data (profile, documents, service history, compliance photos, and pay records). Some records may be kept where the law requires it, such as tax records. Site, client, and contract records are company records and are not personal data about you.
7. Security
We use reasonable technical and organizational measures to protect your information, including encrypted storage and access controls that limit who at Nexodus can see your data. Those limits are enforced by the system itself rather than by policy alone, which means they apply even to our own staff:
- Banking and tax information. Your direct deposit details (account holder name, bank name, routing number, and account number) and your W-9, signature, and identification can be read only by you and by a company owner. The administrators and coordinators who assign your work, review your photos, and approve your pay cannot open them.
- Changes to your banking details. Every change is written to a separate record that only a company owner can review, so a change to where your money goes cannot be made quietly.
- Your documents. Documents you upload are visible to you and to authorized Nexodus staff. They are never visible to another provider, and we do not send your tax or identity documents to the clients whose sites you service.
- Your location. We record your location when you clock in and when you clock out, to confirm you were at the site during the scheduled window. We do not track your location between visits.
No method of transmission or storage is fully secure, but we work to protect your information against unauthorized access and misuse. If you believe your account has been accessed by someone else, contact us immediately using the details in section 10.
8. Children
The Nexodus Clean platform is not directed to children and we do not knowingly collect information from anyone under 18.
9. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the most recent change.
10. Contact
